Recommendations for inviting, supporting and thanking speakers:
Initial Connection:
- Identify and recruit prospective Speakers for our Club Meetings.
- Be sure to be clear on the subject matter and whether it is appropriate for our Rotary Club’s goals. (Consult with Lucas Hiler with any questions, if necessary.)
- Request a couple of dates that would work for your Speaker.
- Coordinate with Lucas Hiler for selecting best date in our schedule.
Letter of Invitation:
- Send a Letter of Invitation (email) with appropriate details in preparation for the Speaker’s visit. (See Sample Letter below-Attachment.)
- Invite your speaker not later than 45 days prior to the desired presentation date.
- Request a brief biography to be used to introduce the speaker.
- Ask the speaker what type of AV equipment they will require. We have a laptop computer (with MS PowerPoint), projector, and screen available. Anything beyond this we may have to procure or ask the guest to provide their own equipment
- Ensure the speaker knows the date, time and location of the meeting.
- Confirm all with the speaker at least 24 hours in advance of their speaking date.
Welcome Speaker upon arrival:
- Greet Speaker, preferably at entrance.
- Provide a Name Tag.
- Log-in Speaker with John Rodgers (Sgt-at-Arms).
- Escort to Visitor’s front table (usually the side of the American Flag).
- Assist the Speaker with set up.
- Introduce Speaker and accompanying guests to our Club Members.
- Escort to the Buffet line.
- Introduce the Speaker prior to presentation using Biography.
Follow up to Presentation:
- Send a thank-you note/email.
- Ask the Speaker to become a subscriber to our email newsletter.
Miscellaneous:
- And finally, thanks for all your efforts in making the meeting successful!
